Absentee & Phone Bids

Allows people to bid without being in the room. Add, view, advise of results and withdraw absentee bids. Assign Callers & Print Call sheets.

List Absentee Buyers

  1. Select the "Sales" admin tab

  2. Select the sale you wish to add an absentee bid to (Sales can be searched by sale number and name or filtered by department and status)

  3. Select the "Buyers" tab

  4. Select "Absentee Bidders" from the grey drop-down box next to the search bar. This shows the list of Absentee Buyers.


View the Absentee & Phone Bids on a Lot

  1. Select the Sale that has the lots you wish to see the absentee & phone bids of (Sales can be searched by sale number and name or filtered by department and status under the "Sales" tab)

  2. Select the "Lots" tab

  3. Select the Lot you wish to see the absentee bids of (Lots can be searched by name, lot number and contract item number or filtered using the drop-down list)

  4. Under Summary, you can view the list of Absentee/Phone bids


Add Absentee & Phone Bids

Pre-sale absentee & phone bids can be added to a Sale with a maximum bid amount.

  1. Select the sale you wish to add an absentee bid to (Sales can be searched by sale number and name or filtered by department and status under the "Sales" tab)

  2. Select the "Buyers" tab

  3. Select the buyer you wish to add an absentee bid for by selecting their buyer number. (Buyers can be searched by buyer number, name, email and phone or filtered by buyer type)

  4. Select the "Bidding" tab

  5. Select the blue link "+ Add Bid"

  6. Fill in the information including lot number and maximum bid. Select the checkbox under Phone if it's a phone bid.

  7. Select the green "Add Bid"

On this page, you can print Absentee Bid Results, to advise the buyer of the results of their absentee bids after the sale.


Withdraw an Absentee Bid

  1. Select the sale you wish to withdraw an absentee bid from (Sales can be searched by sale number and name or filtered by department and status under the "Sales" tab)

  2. Select the "Buyers" tab

  3. Select the buyer you wish to withdraw an absentee bid from by selecting their buyer number. (Buyers can be searched by buyer number, name, email and phone or filtered by buyer type)

  4. Select the "Bidding" tab where you can view the list of Absentee Bids

  5. Select the grey cross mark on the right of the Absentee Bid you wish to withdraw.


Advise Absentee Bidders of their results

  1. Select the Sale you wish to advise absentee bidders of their results in (Sales can be searched by sale number and name or filtered by department and status under the "Sales" tab)

  2. Select the "Buyers" tab

  3. Select the white "Advise Results..." in the second grey box on the right.

  4. Select the buyers you wish to advise (all buyers will automatically be selected but they can also be manually selected)

  5. Select the white "Email" or "Print" on the top right to advise the results

  6. Confirm by following the pop-up box's instructions


Phone Bidders Call Sheets

Assign callers and print call sheets for contacting the phone bidders registered in this sale

Assign Callers

  1. Select the sale you wish to assign callers for (Sales can be searched by sale number and name or filtered by department and status under the "Sales" tab)

  2. Select the "Buyers" tab

  3. Select the white "Assign Callers..." on the right

  4. Fill in the information (including the number of lots and optional names of callers)

  5. Select the green "Assign Callers"

Print Call Sheets & Lot Summary

  1. Select the sale you wish to print the call sheet of (Sales can be searched by sale number and name or filtered by department and status under the "Sales" tab)

  2. Select the "Buyers" tab

  3. Select the white "Assign Callers..." on the right

  4. Select the white "Call Sheets" at the top right

  5. Or Select "Lot Summary" to print a Lot Summary
