Process Results Manually, Import Results, Print Sales Sheets, View Timed Sale Results, Withdraw, Cancel, Approve & Decline Lots.

Process the Sale of a Lot

Process Manually

Process lots by entering the hammer price and buyer number from the Sales sheet into the system.

  1. Select the Sale you wish to process the lots of (Sales can be searched by sale number and name or filtered by department and status under the "Sales" tab)

  2. Select the "Process" tab

  3. Fill in the Price and Buyer Number. Select the status from the drop-down box (Sold, Subject to Approval, Unsold...).

  4. Confirm by selecting the green "Process"

Timed auctions will automatically be processed.

Import Sale Results

Process multiple lots at a time by importing the results from an Excel spreadsheet

  1. Select the Sale you wish to import lots for (Sales can be searched by sale number and name or filtered by department and status under the "Sales" tab)

  2. Select the "Process" tab

  3. Select the white "Import Results" on the top right

  4. Select the "template file" blue link on the top right to download a sample template this will download an Excel document.

  5. Fill in the Lot number, buyer number, hammer price and result

  6. Save the spreadsheet in csv or xlsx format

  7. Select the white "Select file..." on the right to choose a file or drag and drop it into the grey box around the button

  8. Lots will appear in a list for you to confirm. Select the green "Process Results" for the results to be processed and ready for invoicing.

Any lots with errors will appear in red with a reason. Items can be filtered using the grey drop-down box, to see items with errors, ready to process or no changes.


Print Sales Sheet

Sales Sheets to use throughout the Auction can be printed

  1. Select the Sale you wish to print the Sales Sheet of (Sales can be searched by sale number and name or filtered by department and status under the "Sales" tab)

  2. Select the "Process" tab

  3. Select the white "Sales Sheet" on the top right


View Timed Sale Statistics

View the statistics and amounts of a Timed Sale in the Process tab

  1. Select the Timed Sale you wish to see the statistics for (Sales can be searched by sale number and name or filtered by department and status under the "Sales" tab)

  2. Select the "Process" tab

  3. View the stats on the right under the Timed Sale heading. These statistics include the number of bids, running total and final closing.


Withdraw a Lot from a Sale

  1. Select the Sale you wish to withdraw a lot from (Sales can be searched by sale number and name or filtered by department and status under the "Sales" tab)

  2. Select the "Process" tab

  3. Enter the Lot number of the lot you wish to withdraw (or scroll through using the Back and Next labels)

  4. Change the status to Withdrawn using the bottom grey drop-down box.

  5. Confirm by selecting the green "Process"

Lots can also be unscheduled removing them from the Sale however their history will be deleted. Withdrawing lots like this keeps in their history that they were part of the sale.


Cancel the Sale of a Lot

Cancel the Sale of a Lot by changing it's status to unsold

  1. Select the Sale you wish to cancel a lot in (Sales can be searched by sale number and name or filtered by department and status under the "Sales" tab)

  2. Select the "Process" tab

  3. Enter the Lot number of the lot you wish to cancel the sale of (or scroll through using the Back and Next labels)

  4. Change the status to Unsold using the bottom grey drop-down box.

  5. Confirm by selecting the green "Process"


Approve/Decline Subject Lots

Change the Status of lots that are subject to approval after negotiations

  1. Select the Sale you wish to approve/decline lots in (Sales can be searched by sale number and name or filtered by department and status under the "Sales" tab)

  2. Select the "Process" tab

  3. Enter the Lot number of the lot you wish to approve/decline (or scroll through using the Back and Next labels)

  4. Change the status to "Subject Approved" or "Subject Declined" using the bottom grey drop-down box.

  5. Confirm by selecting the green "Process"

If you wish to change the commission rates following negotiations go into the lot itself and adjust the worksheet - negotiate a subject lot
