Close Sales

Close Sales, Release Unsold Items, Export Sales Analysis and Print Pre-Payment Report.

How do I Close a Sale?

  1. Select the Sale you wish to close (Sales can be searched by sale number and name or filtered by department and status under the "Sales" admin tab)

  2. Select the "Close" tab

  3. Select the red "Close Sale" at the bottom to lock the Sale from further processing


Release Unsold Items

Unsold items can be released or released directly into a new sale.

  1. Select the Sale you wish to release unsold items from (Sales can be searched by sale number and name or filtered by department and status under the "Sales" admin tab)

  2. Select the "Close" tab

  3. Select the Item types you wish to release - booked, scheduled, unsold and/or subject

  4. Optional: If you wish to release unsold items into a new sale directly write that sale number in the white box next to "Sale #"

  5. Select the red "Release Items" below

  6. Confirm by selecting the blue "Yes"

Scheduled items will be recorded as Unsold and all Subject items will be as Declined.

Any reserves will be automatically reduced and the items will then be available to schedule into another sale.


Export Sales Analysis

Export detailed analysis of all the lots in the sale

  1. Select the Sale you wish to export the Sales Analysis of (Sales can be searched by sale number and name or filtered by department and status under the "Sales" admin tab)

  2. Select the "Close" tab

  3. Select the white "Export" on the top right

  4. A Sale Analysis Excel spreadsheet will be downloaded. This includes Summary, Lots, Invoices, Payments and Recovered information.


Print Pre-Payment Report

  1. Select the Sale you wish to print a pre-payment report for (Sales can be searched by sale number and name or filtered by department and status under the "Sales" admin tab)

  2. Select the "Close" tab

  3. Select the white "Print" on the bottom right

This allows you to check any contract comments or vendor payments and expense recovery details before generating the payment run.
