Export, Import, View, Sort and Generate Email Alerts for Catalogues of Items in a Sale.

Export Sales Catalogue

Sale Catalogues can be exported as Excel spreadsheets or printed

  1. Select the sale you wish to export the catalogue of (Sales can be searched by sale number and name or filtered by department and status under the "Sales" tab)

  2. Select the "Lots" tab

  3. Select the white "Print" on the top right

  4. Select "Catalogue" to print it or the "Catalogue (xlsx)" at the bottom to export it as an Excel spreadsheet


View Booked Item List

View the list of items in a Sale separated by category

  1. Select the Sale you wish to view the booked item list for (Sales can be searched by sale number and name or filtered by department and status under the "Sales" tab)

  2. Select the "Lots" tab

  3. Select the blue arrow on the right of the "Schedule Lots" drop-down list

  4. Select the white "Booked Items" to view the list of items in booked categories.


Sort Catalogue Categories

  1. Select the Sale you wish to sort the catalogue for (Sales can be searched by sale number and name or filtered by department and status under the "Sales" tab)

  2. Select the "Lots" tab

  3. Select the blue arrow on the right of the "Schedule Lots" drop-down list

  4. Select the white "Booked Items"

  5. Select the white "Sort Categories" on the top right

  6. Drag and drop the categories on the left to change their order

  7. Subcategories can also be sorted under each category

    When the Catalogue is exported it will appear in this order.


Import a Catalogue

  1. Select the Sale you wish to view the booked item list for (Sales can be searched by sale number and name or filtered by department and status under the "Sales" tab)

  2. Select the "Lots" tab

  3. Select the blue arrow on the right of the "Schedule Lots" drop-down list

  4. Select the white "Long Descriptions"

  5. Select the white "Export" on the right (choose the format)

  6. A document containing the current catalogue will be downloaded

  7. Edit the document and save the copy

  8. Select the white "Select File" on the right or drag and drop the file in. This imports the edited catalogue.

  9. The items will be viewed in a list of descriptions

  10. Select the green "Update Items"

Instead of first exporting the catalogue, a new spreadsheet can be made using the file format below (this is also listed on the bottom right) of the Descriptions tab.

Column Names Required In File:

  • Contract-Item (must match)

  • Name *

  • Category *

  • Section *

  • Lot# *

  • Catalogue Title

  • Description

  • Estimate Low

  • Estimate High

* Optional fields

A blank field will leave the value unchanged and a "-" will clear the value

Add New Attributes

adding extra spreadsheet columns - Common information between all the lots can be managed as custom attributes allowing for consistent formatting between items. To add new attributes simply add a new column to the descriptions spreadsheet as shown below:

These will appear in the description (on both the website & catalogue) as a name and a value as shown below:
