Search Items
Searching for an Item allows you to see its Summary, Sales History, and Files. You can search for an Item using its name, description or contract number.
Select the ‘Stock’ admin tab
Enter a Single search term without any punctuation.
Select the blue ‘Search’.
You can also enter more than one search term to refine your results by separating each term with a space. For example (name) (description) (contract number).
Items can also be filtered by selecting the tags on the right
Update an Item
Item details, Catalogue details and consignment settings can be edited
Select the item you wish to update (Items can be searched by name, description and contract number or filtered by department, category and status under the "Stock" admin tab)
Select the blue "Edit Item" on the top right
Update the Item details, Catalogue details and Override consignment settings. A Vendor Reference can also be added to match with Vendor systems.
Select the green "Save"
💡 Items can be edited at all stages including after dispatch. However, after being Scheduled the Sale and Lot number cannot be changed.
Delete an Item
Select the item you wish to delete (Items can be searched by name, description and contract number or filtered by department, category and status on the right under the "Stock admin tab)
Select the cog on the top right side of the screen.
From the drop down select the "Delete Item" option.
Confirm by selecting the blue "Yes". The item's status will be changed to Deleted.
Merge Items
Select the "Stock" admin tab
Select the "Consigned" tab and choose the consignment you wish to merge items in by selecting the consignment number (Consignments can be searched by contract number, vendor name, email and phone number or filtered by status using the grey drop-down box on the right)
Select the cog icon on the top right side of the screen, and under the drop-down list select "Merge Item".
Add the item numbers of the items that will be merged to the right.
Fill in the details of the Merged items and confirm by selecting the green "Merge Items"
A new item will be created with the Old Items listed under Related Items. The original items will still show up with the status "Merged".
Split items
Splitting items undo merging items
Select the item you wish to split (Items can be searched by name, description and contract number or filtered by department, category and status on the right under the "Stock admin tab)
Select the cog icon on the top right of the screen
Under this tab select "Split item"
The Item details can be edited then select the green "Split Item"
Update or Add Constraints
Constraints including a Reserve, Net, Guide or Discretion can be added.
Select the item you wish to update the constraint of (Items can be searched by name, description and contract number or filtered by department, category and status on the right under the "Stock admin tab)
Select the white "Change Reserve" on the top right (or "Set Reserve" if there's no current reserve)
Edit the value, add a comment and change the status using the grey drop-down list (reserve, net, guide or discretion).
Confirm by selecting the blue "Save changes"
Export Items
Items can be downloaded into an Excel spreadsheet to get a full Stock Report
Select "Stock" from the admin tab
Select the drop-down arrow on the right of the blue "Search" button
Select "Export (.xlsx)
An Excel spreadsheet with a full stock report will be downloaded
Item Files
Files can be kept under each Item.
Upload Item Files
Select the Item you wish to upload to or delete a File from. (Items can be searched by name, description and contract number or filtered by department, category and status on the right under the "Stock admin tab).
Upload a file by selecting the white "Select files..." from below the Attachments heading. Or drag and drop files into the larger grey box.
