Client Basics

The basics of Searching, Adding, Updating, Adding Files to, Adding Tags to, Archiving, Merging and Deleting Clients.

Search for a Client

Searching for clients allows you to see their summary, buying & sales history, files and account transactions. You can search for a client using their name, email or phone number.

  1. Select the ‘Clients’ admin tab

  2. Enter a Single search term without any punctuation.

  3. Select the blue ‘Search’.

You can also enter more than one search term to refine your results by separating each term with a space. For example (first name) (phone number) (last name).

Clients can also be filtered by selecting the tags on the right


Add a New Client

Clients can be added as Individuals or Companies.

  1. Select the "Clients" admin tab

  2. Select the blue link "Add A New Client"

  3. Enter Client details (including whether they are an Individual or Company) then select the green "Save".


Update a Client

Client information can be updated

  1. Select the Client you wish to update ((Clients can be searched by name, email or phone number using no punctuation under the Clients admin tab)

  2. Select the white "Edit Contact" on the right

  3. Edit the Client's information then select the green "Save" at the bottom.


Delete a Client

Clients without a transactional history can be deleted. Clients with a history have to be archived instead of deleted.

  1. Select the Client you wish to delete (Clients can be searched by name, email or phone number using no punctuation under the Clients admin tab)

  2. Select the white "Edit Contact" on the top right

  3. Scroll down and select the red "Delete" on the bottom right

  4. Confirm by selecting the orange "OK"

💡 Deleted Clients cannot be recovered so be careful


Archive a Client

Archive clients that haven't been active in a while.

  1. Select the check box next to the Client you wish to archive (Clients can be searched by name, email or phone number using no punctuation under the Clients admin tab)

  2. Select "Archive" which appears in a list on the top right

  3. Confirm by selecting the yellow "Archive"

To Unarchive a client simply edit their details. The archived client will have disappeared from the client list but can be found in the Buying & Sales history.


Merge Multiple Clients

Clients that have accidentally been added or signed up multiple times can be merged.

  1. Select the check box next to each client you wish to merge (Clients can be searched by name, email or phone number using no punctuation under the Clients admin tab)

  2. Select "Merge" which appears in a list on the top right

  3. Choose the client record you wish to keep from the drop-down list. History from the other selected clients will be merged and their contact details deleted.

  4. Confirm by selecting the red "Merge"


Client Files

Files can be kept under each Client.

Upload Client Files

  1. Select the Client you wish to upload a file to (Clients can be searched by name, email or phone number using no punctuation under the Clients admin tab)

  2. Select the blue link "Files" from the above tabs

  3. Upload a file by selecting the white "Select files..." and choosing a document or dropping files into the larger grey box

Delete Client Files

Delete Client files by selecting the grey cross to the right of the file name. Then confirm you wish to delete by selecting the blue "Yes"


Tags

Add tags to filter and sort different Clients.

Add & Create New Tags

  1. Select "Clients" from the admin tab

  2. Select the check box next to the Client you wish to add the new tag to

  3. Select "Add tag" which appears in a list on the top right

  4. Select an existing tag from the drop-down list or write the name of a new tab

  5. Select the green "Add Tag"

Remove Tags

  1. Select "Clients" from the admin tab

  2. Select the check box next to the Client you wish to remove a tag from

  3. Select "Remove Tag" which appears in a list on the top right

  4. Select the tag you wish to remove from the drop-down list

  5. Select the red "Remove Tag"
