Sale Basics

The basics of Searching, Adding, Updating and Deleting Sales. As well as Adding Files, Multiple Session times and Timed Auction settings.

Search for a Sale

Searching for Sales allows you to see their summary, lots, buyers, vendors, process and closing tabs. You can search for a client using their sale number or name.

  1. Select the ‘Sales’ admin tab

  2. Enter a Single search term without any punctuation.

  3. Select the blue ‘Search’.

You can also enter more than one search term to refine your results by separating each term with a space. For example (sale number) (name).

Sales can also be filtered using the Department and Status drop-down boxes on the right


Add a New Sale

  1. Select "Sales" from the admin tab

  2. Select the blue link "+ Add A New Sale"

  3. Add the Sale details including summary, session times, viewing times, website and buyer settings

  4. Select the green "Save" to confirm

New Sales will be added to the Dashboard calendar (when they are this or next week)

Under Buyer settings, a fixed Premium percentage can be added. Otherwise, select Graduated such that the rate changes with price.


Update a Sale

  1. Select the Sale you wish to update (Sales can be searched by sale number or name under the "Sales" admin tab)

  2. Select the white button "Edit Sale" on the right

  3. Update the Sale information

  4. Confirm by selecting the green "Save"


Delete a Sale

  1. Select the sale you wish to delete. (Sales can be searched by sale number and name or filtered by department and status on the right under the "Sales" admin tab).

  2. Select the white "Edit Sale" on the right

  3. Select the red "Delete" on the bottom right

  4. Confirm by selecting "OK"


Sale Files

Files including descriptions and images can be added to a Sale.

Upload Sale Files

  1. Select the Sale you wish to upload to or delete a File from. (Sales can be searched by sale number and name or filtered by department and status on the right under the "Sales" admin tab).

  2. Upload a file by selecting the white "Select files..." from below the Attachments heading. Or drag and drop files into the larger grey box.

Delete Sale Files

  1. Delete Sale files by selecting the grey cross to the right of the file name. Then confirm you wish to delete by selecting the blue "Yes"

Add Banner Images

Upload a Banner Image by dragging it into the Sales Summary tab as above for regular Sale Files. The image needs to be at least 3 times wider than it is tall to be shown as a Banner image (eg. 3000 x 1000px). Banner images are shown above the Sale details on the website.

Note: Multiple Banner images can be added and they will be rotated through


Add extra Session / Viewing times to a Sale

  1. Select the sale you wish to add multiple times to (Sales can be searched by sale number and name or filtered by department and status on the right under the "Sales" admin tab).

  2. Select the white "Edit Sale" on the top right

  3. Under Session Times select the "+Add a session time for this sale" and fill in information or do the same for Viewing times

  4. Confirm by selecting the green "Save"


Timed Sale Settings

  1. Select the Timed Sale you wish to edit the settings of. Or add a new timed sale by selecting the link on the top right. (Sales can be searched by sale number and name or filtered by department and status on the right under the "Sales" admin tab).

  2. Edit the Settings under the Timed Auction (Online Only) settings

Close in batches

Edit the number of lots that should be closed at once and the minutes between batches. Closing multiple at once is helpful for Sales with a large number of lots.

Extended bidding (anti sniping)

Edit the Extended within last (minutes), Extended By (minutes) and Maximum time extend numbers. This means if someone bids last second the auction is extended to give other bidders the chance.

Opening Ask / Dynamic Increments

Edit the Start at % of Low Estimate and Minimum Asking Bid amounts.
