Consignment

Add items to, Get details of, Create, Update, Close, Add Files to, Print, Email, Export labels of and Transfer Items between Consignments.

Get Consignment details

  1. Select the "Consigned" tab under "Stock"

  2. Select the Consignment you wish to get the details of by selecting the consignment number link. Consigned items can be searched by contract number, vendor name, email and phone number or filtered by open, closed or all.

You can see the consignment details including items and files. The items in the consignment can be searched by name and item number or filtered by status using the grey drop-down box on the right.


Add Items to a Consignment

  1. Select "Consigned" under the "Stock" admin tab

  2. Select the consignment you wish to add new items to by selecting the consignment number (items can be searched by contract number, vendor name, email and phone number or filtered by status using the grey drop-down box on the right)

  3. Select the blue "Add New Items" on the top right

Add New Items Manually

  1. Add Item details - multiple can be added in the main tab or detailed information can be added in the "Add Detailed Item" tab

  2. Confirm by selecting the green "Create Items". Use the tab key to switch between fields and add new items.

Import New Items

  1. Select the "Import Items" tab

  2. Select "Download" on the right to download a sample Excel file.

  3. Fill in the Item details and download the spreadsheet

  4. Upload the spreadsheet by selecting the white "Select file" or dragging and dropping the file

  5. New items will appear in a list. Add them by selecting the green "Consign Items" on the bottom right.

These new items will be consigned against the vendor and booked/scheduled into the sale.


Create a New Consignment

  1. Select the client you wish to create a new consignment in (clients can be searched by name, email and phone number or filtered by tag on the right under the "Clients" admin tab)

  2. Select the "Consignments" tab

  3. Select the blue "+ New Consignment" on the top right

  4. Fill in Consignment details (including contract number, reference, general comments and payment details)

  5. Confirm by selecting the green "Save & Close" or the blue "Save & Add Items"


Update a Consignment

  1. Select "Consigned" under the "Stock" admin tab

  2. Select the Consignment you wish to update by selecting the consignment number link. Consignments can be searched by contract number, vendor name, email and phone number or filtered by open, closed or all.

  3. Select the settings icon on the top right

  4. Select "Edit Contract" from the drop-down list

  5. Edit the Commission, Summary and Comments then select the green "Save"

Changes to the consignment settings will affect all unsold items that have not been set individually. Edit an item to set the rates for the specific item only.


Close a Consignment

  1. Select "Consigned" under the "Stock" admin tab

  2. Select the Consignment you wish to close by selecting the consignment number link. Consignments can be searched by contract number, vendor name, email and phone number or filtered by open, closed or all.

  3. Select the settings icon on the top right

  4. Select "Close Contract" from the drop-down list

  5. Confirm by selecting the orange "OK"

πŸ’‘ Consignments can't be closed if they still have unprocessed items.


Consignment Files

Files can be kept under each Consignment / Contract.

Add Consignment Files

  1. Select "Consigned" under the "Stock" admin tab

  2. Select the Consignment you wish to add files to by selecting the consignment number link. Consignments can be searched by contract number, vendor name, email and phone number or filtered by open, closed or all.

  3. Select the "Files" tab

  4. Add a file by selecting the white "Select Files" or drag and drop a file

Delete Consignment Files

  1. Delete files by selecting the grey cross on the right of the file name. Then confirm you wish to delete by selecting the blue "Yes".


Print/Email Consignments

Consignment information can be emailed or printed (including T&Cs)

  1. Select "Consigned" under the "Stock" admin tab

  2. Select the Consignment you wish to email or print by selecting the consignment number link. Consignments can be searched by contract number, vendor name, email and phone number or filtered by open, closed or all.

  3. Select the white "Email" or "Print" on the top right

  4. For email fill in the recipients, subject and message then confirm by selecting the green "Send Email"


Export Item Labels

Item labels can be exported as an Excel spreadsheet or configured for a Dymo Label printer

  1. Select "Consigned" under the "Stock" admin tab

  2. Select the Consignment you wish to export the item labels of by selecting the consignment number. (Consigned items can be searched by contract number, vendor name, email and phone number or filtered based on status using the grey drop-down box on the top right)

  3. Scroll down to the grey boxes on the right for Item Labels and Dymo LabelWriter. Choose the format you wish to use and select the white print or export.

  4. Confirm the item numbers in the pop-up box the select the blue "Export"


Transfer Items between Consignments

Transferring an item shifts it into a different contract.

  1. Select the Item you wish to transfer. (Items can be searched by name, description and contract number or filtered by department, category and status on the right under the "Stock" admin tab)

  2. Select the cog icon on the top right of the screen.

  3. Select "Transfer" from the drop-down list

  4. From here put in the required information to transfer - New item number, contract number, reason for transfer - and select "Transfer item".

The item's status will now show as transferred. Transferring creates a copy of the item in the new consignment and then links the two items so the history can be seen.
